Welcome to the International knowledge platform of the Central Agency for the Reception of Asylum Seekers (hereinafter: “IKP”, “COA”, “we”, “us” or “our”)! We want you to be familiar with the careful way in which we process personal data. We adhere to the General Data Protection Regulation (hereinafter: “GDPR”). This privacy statement applies to visitors to our website coa.nl.
Before we go any further, we would like to explain two important terms to you:
The term “personal data” is very broad. This concerns all information that can be traced back to a person (“the data subject”). This includes information such as your name, address, date of birth, nationality and telephone number. The term also includes less obvious data, such as your license plate number and your bank account number.
“Processing personal data” consists of all actions that we can perform with your personal data. Consider, for example, recording, storing, changing, forwarding and destroying data.
1. What personal data does COA process about you?
We may process the following categories of your personal data:
pages visited, date and time of visit, location and device used to visit the website;
when you send us an email, we process your name and email address, as well as any additional information you may wish to include in the message.
2. From whom do we receive your personal data?
We do not receive any personal data from you, other than the data mentioned below that we automatically obtain from you because you visit the website.
3. Why does COA process your personal data?
We process your personal data for the following purposes:
to ensure that our website functions properly and to improve the user experience;
when you provide your contact details, we can contact you.
4. On what basis does COA process your personal data?
For the purposes mentioned above (paragraph 3), we can rely on the following basis:
Legitimate interest (GDPR art. 6 sub f).
5. When does COA pass on your personal data to others?
We do not pass on the data we collect via our website to others.
6. How long does COA store your personal data?
Personal data collected via our websites will be kept by us for as long as it is necessary for the purposes mentioned in paragraph 3 for which we process the personal data.
7. How does COA protect your personal data?
The COA has taken appropriate measures to secure the processing of your personal data and to prevent misuse of data. For the security of personal data within the COA, we seek alignment with government security standards and regulations. In addition, all COA employees, temporary workers and volunteers have a duty of confidentiality.
8. Rights of data subjects
You have a number of rights, such as the right to delete, inspect and correct personal data. If you want to know which personal data we have processed about you, you can make a request for access. Does it appear that your data is incorrect, incomplete or not relevant? You can then make an additional request to have your data changed, supplemented or deleted.
9. Use of cookies
This website uses cookies to ensure that the website functions correctly and to improve its ease of use. A cookie is a simple small file that is sent with pages from this website and stored by your browser on the hard drive of your computer. 10. Who can you contact with questions, requests or complaints about the processing of your data by COA?
If you have any questions, requests or complaints about the processing of your data by COA, you can contact the COA information line via the e-mail address: info@coa.nl. We try to respond as quickly as possible, but in any case within one month. In exceptional circumstances, we can extend this period to a maximum of three months.

You can also file a complaint with the Dutch Data Protection Authority (hereinafter: “AP”). The AP monitors compliance with privacy legislation in the Netherlands. We would appreciate it if you would contact us first before approaching the AP. We will do our utmost to resolve your complaint to your satisfaction. Please note that we will need to verify your identity for any questions or requests. We do this to prevent us from sharing your personal data with the wrong party or incorrectly making changes to the personal data.
